Inquiry

  

TYPE OF INQUIRY
  
Walk-In:
In walk-in inquiry counselor attend the inquiry and get the inquiry details by inquiry form fill up by that entity. 
  
Telephonic: In telephonic inquiry the telephone no and remarks are written down and on the basis of that telephone no. get the address and through letter/phone/email the follow up is maintained. Never gives details of fee on phone Inquiry also coming at the different place where the institute in take part in the exhibition or held some seminars or workshops. At that time the e-mail or different info is taken and after that follow up is done.

  

Follow-up

  

Any counselor can follow-up in absence of the counselor who has attended the inquiry. On registration it will be considered as his/her performance (i.e. The one who initiates the inquiry) 

Follow-up may be done through telephone or through letter or personal visit or email. 

Inquiry helps in deciding new course. 

Follow-up details are maintained for follow-up and are very useful in starting of batch depending on the inquiry rank. 

How long to follow-up of inquiry will be decided by the counselor and depends on the inquiry ranks. When and how to follow up is depend upon counselor's skills.

  

Inquiry Rank

  

Inquiry Rank can be of 4 types or may depend upon counselor's observation 

Hot: Very much interested in joining. Asks about faculty. 

Medium Hot: Interested but not in this area or having the exams or other reason 

Medium Cold: Interested in course but don't have money. 

Cold: Not interested. 

A record about source through which inquiry is generated is maintained. 

No benefits are given to student through which another student had join the institute. 

Keep track of all the inquiries which are not interested and when institute starts new batch at that time all the not interested inquiries will come to know about starting of new courses and batches through mail or letter.

Conversion ratio is maintained to judge the performance of the counselor. It is no. of enquiry attended upon no. of students registered. 

Anybody can register for any course by paying registration fees. 

Two separate forms are to be filled: one is inquiry and other is registration form. 

Records are maintained up to the period of 6 months. They may be useful for informing the person about new courses in future. 

Head of the institute look after the daily reports of odd/hot inquiry makes the survey and then finally

decides about starting of new course and batch. 

Depending on no. of odd inquiry center manager decide to launch new course.

Student

  

Student-Id will be unique but registration-id will be different. 

Once enrolled the student gets his/her id -card. 

Student can opt for more than one course and will have same id but different registration number. 

If one student select the course that is included in one package then he do not need to give registration 

fee but if he select course from different package then he will have to give. 

The center coordinator maintains student ID card and courseware books record. 

Library access is given to them. 

No extra fee for course-ware book but if lost and demands another set then he is charged some amount which is handled by librarian. 

Student can join in any module of a course. 

Students are given more priority then faculty in case of issuable book and reference book. 

For library book/cd he has to pay extra fee that is refundable.

Course - Batch - Faculty - Lab & Class Management

  

COURSE

Hierarchy from course level (top) to topic (bottom) is as follows. 

Course - Modules - lectures (sessions) - topics. 

At the top level there is course. 

Now each course has one or more than one modules. 

Each module has lectures (sessions) of different subjects. 

In each lecture (session) there are number of topics of subjects. 

Each lecture (session) can have topics of different subjects so one lecture (session) can have different subject topics and so one module has also. 

Access rights for manipulation of course will be in hand of top administrator.

  

BATCH

  

A module contains different subjects. A faculty may or may not be able to handle all the subjects of a module. 

One course have more than one batch so all the batch information regarding one course is provided by this system. 

In one batch there are different faculties can be taught according to course ,Subjects and faculty skill determined before batch start. 

Batch part of this module is divided in following four parts.

BATCH FORMATION

  

New batch will be formed on the basis of different information provided by inquiry reports, faculty skill, faculty's job-slot period, and free slots, which will get by completion of batches. 

Information about students of new batch is maintained. 

Start time and end time will be predetermined so in the case of break we can manage other batches.

  

BATCH SCHEDULING

  

After batch formation batch scheduling is take place in which all the information related to batch such as which faculty/faculties are assigned, in which class-room a particular batch will be taken and in which lab its practical is, which session will be covered, what is the time period of the batch. 

This batch scheduling is for next 7 days or 15 days.

BATCH PROCESS

  

In batch progress all the information of running batches will be kept and all those batches which are completed is also maintain so that it will be helpful to form new batch of different or same course. 

All the information for completed batches will be kept from start to finish and also maintain the information if any faculty break , leave, dropped or any other case. 

According to batch taken by different faculty, their attendance will be managed.

  

FACILITY

  

All the detailed information regarding faculty will be maintained in the system. 

All the skill information of faculty will be maintain so it may help to assign a batch to particular faculty according to his/her skill set. 

Faculty skill set will be determined in terms of subjects they can teach. 

Faculty attendance will be maintained. 

Different category or designation will be given to each faculty to maintain types of different faculty. 

Job - slot period will be maintained by the system so it will helpful to assign a batch to faculty in particular time slot. 

Faculty assigned for one batch in terms of session he/she will take for that batch according to batch schedule.

  

LAB & CLASS

  

In lab &Class there is information will be kept for number of class-room andnumber of labs in the institute. According to free lab & class batch scheduling will be done.

  

LIBRARY

  

There are three types of book. 

Issuable book: These books are allowed to take home for study. 

Reference book: These books are allowed to be referred within the institute.
